CRM Pipeline Stages for Service Businesses

Build pipeline stages that reflect real customer decisions and give management clear ownership, next actions, and reporting.

By Joshua Carney, Founder and CEO of Shadow Marketing Media · Updated September 16, 2026

A pipeline should describe what is true about the opportunity, not where a salesperson dragged a card last week.

STEP 01

New inquiry

The contact entered the system but has not completed useful qualification or a real two-way conversation.

STEP 02

Qualified and scheduled

The opportunity fits the service, geography, timing, and basic requirements, with a confirmed next step.

STEP 03

Estimate or proposal open

Pricing or scope has been delivered. The record needs value, decision timing, last activity, next action, and owner.

STEP 04

Won, lost, or nurture

Close the loop with a real outcome and reason. Longer-term opportunities need a dated nurture plan, not an indefinite open stage.
